Historically, British Fencing have faced significant challenges in managing this process. Team managers and club administrators were tasked with a labour-intensive manual process that required them to chase members to confirm attendance. If a member failed to respond within a set timeframe, managers were forced to individually contact reserve members to fill vacant spots, causing a significant strain on resources and potential delays in finalising trip details.

To support them in tackling this issue, we designed a new piece of functionality within their Sport:80 Platform that introduced automated timing windows for members to confirm their participation. When this window closes, any unconfirmed spots are automatically offered to reserve members, eliminating the need for any manual intervention.

This has significantly streamlined the workflow for team managers and helped ensure no place goes unfilled. Ultimately, the functionality has minimised administrative time loss and maximised the potential for participation. Additionally, they can benefit from cheaper travel costs by filling places more quickly and finalising travel plans earlier.

The system also provides British Fencing with a comprehensive audit trail, meaning that every trip invitation, along with its date and time, is logged within the Platform, and member responses are automatically recorded. This eliminates the need to manually track scattered email trails, offering a far more efficient and reliable way of managing participation.
