Huge importance must be placed on planning ahead, and it is vital to have a long enough runway to deliver a project successfully, allowing solutions to be thoroughly scoped, designed, developed, tested, and implemented. Not doing this can complicate the transition from old systems and steepen the learning curve for NGBs, and the knock-on effect can result in a negative experience for the end user. That's why we have developed a carefully crafted and detailed onboarding process. It may seem unnecessarily long at first, but we believe it is crucial to successfully delivering our robust solutions which are tailored to our clients' needs.
Our onboarding process has five stages: including discovery and scoping; build and configuration; testing; launch planning; and go-live.
Discovery and Scoping. Here, we begin by engaging in regular in-depth conversation with our clients to gain a thorough understanding of their requirements. This collaborative process allows us to gather vital information to create User Acceptance Criteria documentation which serves as the foundation for the project.
Build and Configuration. In this stage, our experienced team gets to work meticulously building the solution. We remain in regular communication with the client throughout, to ensure their solution aligns with expectations.
Testing. Once we have configured a development environment, we conduct thorough testing in a development environment. Our clients actively participate in this, allowing their team to familiarise themselves with the system and provide valuable feedback.
Launch Planning. We collaborate closely with our clients to create a detailed launch plan to minimise potential disruptions and facilitate a smooth transition. This includes support with communications strategy and the creation of support resources including tutorial videos, and webinars.
Go-Live and Ongoing Support. With a comprehensive launch plan in place, the solution goes live and at this point is accessible to the client’s community. We ensure sufficient support resources are available, and following the launch, our dedicated customer support team remains readily available to provide ongoing assistance.
Through our experience delivering technology solutions that support business critical areas (membership, events, safeguarding, education etc.), we recommend allocating between 6 and 12 months to the onboarding process. This timeframe allows for thorough consultations, meticulous testing and comprehensive planning. By giving your project a healthy runway, and following our tried-and-tested onboarding process, you maximise your potential for a successful and seamless transition.
